Google Calendar

We use Google Calendar to manage our calendars. Many also use GCal to time block their schedules to handle priorities in batches. Using your calendar in this way also increases visibility for others on the team to see what you're up to.

The Complete Guide to Time Blocking

Permissions & sharing

Our calendars and events are public by default across the company.

You should adjust your Calendar settings for all at Levels to "see all event details".

With few exceptions for truly confidential meetings, we generally keep our visibility public within the company.

You are free to keep your personal events on your work calendar, or your personal one. No need to share your personal events, of course.

Calendly Links

We like to use tools like Calendly or Cron to absolve ourselves from scheduling overhead for meetings with external partners or candidates.

So long as you're personally in touch with the person you're coordinating with, it's not a faux pas to send them your Calendly link so they can book themselves on your calendar. This is more time efficient for both parties.

We recommend setting specific days or times each week that you are available for sync meetings and limit the number of meeting slots available per day.

<aside> 📅 If you prefer not to use Calendly internally, that’s ok. Just be sure to make use of “busy” or “deep work” blocks on your calendar.

We generally avoid throwing time on someone's calendar without checking with them first, so using their Calendly is a good way to respect their preferences. (Exceptions for new hires scheduling getting to know you calls and for donut chats.)
